Late-breaking Abstracts

We will be accepting late-breaking abstracts from September 2 through October 2, 2008.

Submission guidelines are outlined below and available online in the submitter program. Additional questions regarding the abstract submission process can be directed to the Education Department.

Important Dates

  • April 1, 2008 - Online submission site opens.
  • June 13, 2008 - Online submission site closes.
  • September 2, 2008, - October 2, 2008 - Late-breaking abstracts will be accepted. You do not need to submit a placeholder in the regular abstract submission site to submit a late-breaking abstract.

Abstract Submission Guidelines
1. An individual may submit only one abstract in which he or she is indicated as presenter or first author. Sponsorship is not required.

2. An abstract may only be submitted to the Thoracic Oncology symposium once. Duplicate abstracts (reporting the same data) that are submitted under a different author will not be considered.

3. Abstracts must be submitted online through the abstract submission program. No fax copies, disk or e-mail submissions will be accepted.

4.. Abstracts must be received by June 13, 2008, 11:59 p.m. Eastern time. Abstracts received after the deadline will not be eligible.

5. Abstracts must contain new material that has not been accepted for presentation at another major medical meeting or submitted for publication prior to June 13, 2008. If an abstract reporting the same data has been submitted for consideration at another meeting and you have not received notification of its acceptance at the time of your submission, you will be asked to upload a copy of the previously submitted abstract during the abstract submission process. (Restriction does not apply to abstracts submitted or presented at other ASTRO/ASCO/IASLC sponsored or co-sponsored meetings.)

6. Abstract presenters with papers accepted for presentation at another major medical meeting after June 13 are required to notify ASTRO of the change in status by e-mail to Gail Weirich at gailw@astro.org by August 1, 2008. ASTRO will not consider previously presented works for plenary presentation.

7. Once an abstract has been selected for presentation, it may not be revised prior to publication in the proceedings. Typographical errors that do not affect the data presented or accidental omissions of co-authors are not reasons for changes to abstracts after selection. Please proof your abstracts carefully for formatting, spelling and grammar. Double check all sections of the abstract, i.e., title, authors, disclosures and abstract body. Material may be updated in your presentation and manuscript.

8. The character limit for the entire abstract, including title and the body of the abstract is 2000 ( approximately 300-350 words). Spaces are not counted.

9. An abstract may not contain any illustrations, images, graphs or tables. The abstract must be formatted in all text for publication in the meeting proceedings. Any abstract containing an image, graph or table will not be accepted for peer review. If selected, presenters may expand their abstract to include tables, graphs and images in oral and poster presentations.

10. A maximum of 10 author names may be listed on each paper.

11. Abstract submissions should be submitted in the most appropriate category. A list of submission categories are available online. Please note that the symposium program chair has the authority to re-categorize any abstract.

12. Presenters should use product-based and generic names wherever possible.

13. Abstracts may be edited up to the deadline date of June 13, 2008. Abstracts will be considered ineligible for review until they are complete. Draft abstracts will not be considered. IMPORTANT: Please be sure you “Submit” your final draft upon completion or it will not be scored.

14. You will be notified of the disposition of your abstract by July 2008. If you wish to withdraw your abstract, you must submit your request in writing by August 1, to Gail Weirich at gailw@astro.org. After August 1, your abstract will be published in the 2008 meetings proceedings.

15. All presenters are required to register and attend the meeting.

16. All accepted abstracts will be published in the Journal of Thoracic Oncology, and submission of an abstract conveys permission to be printed in that Journal.

*Major medical meetings include annual meetings of national and international societies with attendance of more than 3,000 participants.

Presentation Types

  • Oral or Poster: Abstract will be considered for oral presentation or poster viewing.
  • Poster Only: Abstract will be considered for poster viewing only.

Presentation Categories
Oral Abstract Presentation
Abstracts accepted for oral presentation will be presented in scientific sessions.

Poster Viewing Presentation
Accepted posters will be on display at the meeting in the Poster Viewing area of the Exhibit Hall and will provide for greater interaction between the researcher and attendees. A designated time to discuss the work presented will be scheduled. At least one of the authors must be available at the assigned space during this time. Poster presenters are encouraged to format their poster on one large sheet produced from a poster printer for easy set-up and removal. Details of poster viewing guidelines will be sent to presenters.


Abstract Scoring Criteria
Abstracts for oral and poster presentations will be selected by blind peer review based on the following criteria:

  • Does the abstract pose an important and novel question?
  • Does the study design permit the question to be answered?
  • Are the endpoints of the study clearly defined?
  • Is there an appropriate use of statistics?
  • Are the methods described in sufficient detail?
  • Are the conclusions supported by the data?
  • Has the research been accepted for presentation at
    another medical meeting?

Specific questions for prospective Phase I/II trials:

  • Is there a rationale, either clinical or laboratory, underlying the study design?
  • Is it either promising enough to pursue or negative enough (for a rational therapy) that presentation would save other investigators from wasting efforts?

Awards
A limited number of travel grants are available to encourage resident and junior faculty participation at the symposium. Travel grants will be used to help fund travel expenses of those who otherwise may not be able to attend. The grants will be awarded based on the quality of the abstracts submitted. Travel grant recipients will receive a $1,000 award, as well as complimentary registration for the 2008 Chicago Multidisciplinary Symposium in Thoracic Oncology.

Purpose
To encourage resident and junior faculty participation at the symposium based on the scoring of high quality abstracts.

Criteria
1. This travel grant is designed to recognize outstanding abstracts submitted by residents and early career clinicians, scientists, biologists and physicists.
2. Abstracts must be submitted through ASTRO’s Oasis program.
3. Applicants must be endorsed by their current department chair.
4. Registration for this symposium will be waived for individuals awarded travel grants. ASTRO will register each award recipient for this meeting.
5. The travel grants will be presented to the recipients at the symposium in Chicago.
6. Decisions of the Program Committee are final.


Late-Breaking Abstracts
Late-Breaking Abstract Submission Opens: September 2, 2008
Submission Deadline: October 2, 2008

You do not need to submit a placeholder in the regular abstract submission site to submit a late-breaking abstract.

Original abstracts containing important late-breaking scientific research results after the June 13, 2008, regular submission deadline may be submitted for consideration until October 2, 2008.

NOTE: SUBMISSIONS THAT CONSIST OF AN UPDATE OF AN ABSTRACT SUBMITTED BEFORE THE REGULAR JUNE SUBMISSION DEADLINE WILL NOT BE CONSIDERED FOR PRESENTATION.

Abstracts will be selected for oral presentation based on scientific merit, timeliness and interest to the symposium’s attendees. A special panel of peer reviewers will review the late-breaking abstracts and the corresponding author will be notified of the abstract's status by October 17, 2008. Late-breaking abstracts will not be published in the meeting proceedings.

Abstracts should only be submitted as late-breaking abstracts if they meet the following criteria:

• The research is limited to a Phase II and Phase III trial for which no preliminary data are available at the time of the abstract submission deadline and must be new and of sufficient scientific importance to merit plenary presentation.

• Late-breaking abstracts cannot be a revision of an abstract submitted prior to the June 13, 2008, submission deadline.

• Late-breaking abstracts must not have been submitted, presented, accepted for presentation or published in any other scientific venue.

• Late-breaking abstracts that are not accepted for presentation will not be presented in any manner during the symposium. In general, standards for accepting late-breaking abstracts for presentation are much higher than those required for abstracts submitted through the regular cycle.
